Package Booking Terms & Conditions

1. Booking contract
Thank you for choosing North Star Adventures Ltd, we are happy to assist you with your booking. All bookings are made with North Star Adventures Ltd. By confirming a reservation with us you acknowledge and agree to have read, understood and agree to be legally bound to the terms and conditions set out in this Aurora Booking Terms & Conditions. Your booking contract will take effect from the moment payment (deposit or the full balance) has been received. The services to be provided to you by North Star Adventures Ltd will be listed in your Product Booking Invoice.
2. Validity
Package dates and itineraries are valid until April 30, 2026. Beyond April 30, 2026 package dates and itineraries are suggestive only. Please note dates, price and itineraries subject to change.
3. Booking contract and final payments
The booking contract takes legal effect when your deposit and/or payment has been received. Please refer to your Product Booking Invoice for payment details. A 25% non-refundable deposit is required for your booking to be confirmed. Failure to pay the balance on or before the due date will result in the cancellation of your booking. The deposit is non-refundable, and any reserved seats will be released. You may request to transfer your booking to a future date within 12 months of your original tour date, subject to availability and written approval from North Star Adventures. Any rate differences for the new date will apply. Our booking staff will be happy to assist you with this process. A CAD $250 transfer fee per person will apply to process the date change.
For custom designed/arranged packages, a 10% custom fee will be added to the Product Booking Invoice amount.
4. Deposit requirement
A 25% non-refundable deposit is required for your booking to be confirmed. The Deposit amount applies only to the Package that you are booking and cannot be transferred to another booking. If your booking is made within 60 days of the tour date, then the full amount of your Product Booking Invoice is payable at the time of booking. Please note deposit amounts will vary depending on which Package has been booked. Payments can be made by credit card, e-transfer or bank wire transfer.
5. Cancellation by the Traveller
If you cancel some or all portions of your booking, cancellation fees will apply. A cancellation will only be effective from the date we receive email notification of the cancellation.
If you cancel a Package:
- A 25% deposit is non-refundable
- 60 days or more prior to departure, a refund of the 75% balance will be refunded;
- Between 59 and 30 days prior to your tour date, a 50% refund of the balance payment;
- 29 or less days prior to your tour date, no refund will be issued.
Please note: The above cancellation fees do not include fees which may be levied by accommodation providers, travel agents or other third-party tour providers and transport operator fees. In these cases, North Star Adventures Ltd staff will email the full details of any additional cancellation fees to you.
If you cancel a Tour:
- Tour booking(Non-Package): more than 24 hours before tour start time – 85% refund
- Tour booking(Non-Package): within 24 hours of tour start time – No refundAll tours require a minimum of 4 guests. If a cancellation reduces the number of guests below the minimum, North Star Adventures reserves the right to cancel the tour with a full refund to remaining guests.
Rescheduling / Moving Your Tour:
Day Tours:
You may move your Day Tour to another day provided:
- The request is received within 48 hours of the original tour date;
- Seats are available on the new tour date (transfers to other Day Tours are allowed);
- The rescheduling does not affect the minimum participant numbers for the original tour or the new tour date;
- A $25.00 transfer fee per group per tour is paid to confirm the tour date change.Please note that most of our Day Tours run every two days. Rescheduling is only possible if it does not conflict with the current tour minimum participants and there is availability for the new date.
Aurora Hunting Tours:
You can move your Aurora Hunting Tour to the next day provided:
- The request is received by 3:00pm on the original tour date;
- Seats are available on the next day’s tour (Aurora tours cannot be exchanged with other Day Tours);
- The rescheduling does not affect the minimum participant numbers for the original tour or the next day’s tour;
- A $25.00 transfer fee per group per tour is paid to confirm the tour date change.If you leave your tour for any reason after it has started, there will be no refunds for unused services. If you fail to join your tour, join after departure, or leave prior to its completion, there will be no refund. If you are asked to leave the tour by North Star Adventures Ltd staff, there will be no refund.
6. Cancellation by North Star Adventures Ltd
We may cancel a Tour at any time prior to departure for personal safety, inclement weather, natural disasters or other external events beyond the control of North Star Adventures Ltd, there will be no refund. If we cancel a Tour due to cancellation by contract service providers, there will be an 85% refund.
7. Amendments to Booking By Traveler
Guests may request to transfer their booking to an alternative tour date within the validity period of their package (valid for 12 months from the original tour date), subject to availability and written approval from North Star Adventures Ltd.
- Package Bookings: A $250 CAD transfer fee per person applies. Transfers must be requested at least 60 days prior to the original tour date. Any difference in rate for the new tour date will also apply.
- Day Tours: Transfers may be requested up to 48 hours before the original tour date. A $25 CAD transfer fee per group per tour applies. Transfers are subject to availability and do not affect minimum participant requirements.
- Aurora Hunting Tours: Transfers may be requested by 3:00 PM on the original tour date. A $25 CAD transfer fee per group per tour applies. Transfers are subject to availability and cannot be exchanged with other Day Tours.
All transfer requests are subject to approval by North Star Adventures Ltd. Any charges levied by hotels, transport providers, or other third-party services as a result of the transfer remain the responsibility of the guest.
8. Inclusions
The Product Booking Invoice amount of your Tour may include but not limited to:
- All accommodation;
- All Day Tours and meals;
- All Tour transfers,
- Transportation costs and flights
- All Winter Clothing rentals (Included in certain packages; optional for others – see Winter Clothing Terms & Conditions)
- All Personal Airport Shuttle Services
- North Star Memory Package and other North Star Adventures souvenir offerings (Included in certain packages; optional for others – see Photo Terms & Conditions)
9. Exclusions
The price of your Package or Tour price does not include:
- Travel and/or Trip Interruption Insurance
- Hotel/B&B Incidental expenses
- Optional tour activities and services not listed on your Product Booking Invoice
- Gratuities for Guides and Staff
10. Age & Health Requirements
Minimum Age: For our Aurora Hunting tours the minimum age is 5 years of age. All travelers under the age of 18 must be accompanied by a legal guardian.
Maximum Age: Most of our tours do not have an upper age limit though we remind you that some of the Day Tours can be physically demanding and travellers must ensure that they are physically fit to allow full participation, such as our Nature Hike tours. Please let us know if special needs are required and we will do our best to ensure your tour is as comfortable as possible.
Waiver Requirements: All travelers must complete and submit the North Star Adventures Ltd Travel Waiver from prior to the start of the tour. Participation in the tour will not be permitted until the waiver is completed.
11. Travel insurance requirements
All travellers are recommended to protect their travel investment. It is recommended you purchase proper Travel insurance and/or Trip Interruption Insurance before starting your Tour. Your travel insurance coverage should include costs related to your Package, including tour cancellation and/or interruption, personal accident, death, medical expenses, evacuation and emergency repatriation.
If you choose not to purchase the appropriate Trip/Package cancellation and/or Interruption insurance, you will be required to sign our Travel Insurance & Trip Interruption Waiver Form before the balance payment of your tour is paid. By doing so, you fully understand, acknowledge and agree that should any unforeseen situations (beyond the reasonable control of North Star Adventures Ltd) that may arise where your Package, Day Tour or Service needs to be cancelled, there will be no refund.
Please note most travel purchases made with a credit card may provide travel insurance and/or trip interruption coverage up to $5,000.00 per person to a maximum of $10,000.00 per purchase. If your Tour was purchased with a credit card that has travel insurance contact your credit card provider for more details on this. We will be happy to provide the necessary documentation to assist you with your claim.
12. Acceptance of Risk
You acknowledge that seeing Aurora is not guaranteed. You also acknowledge that Mother Nature and weather conditions may result in unsuccessful viewing of the Aurora during your tour. You also acknowledge North Star Adventures Ltd has no control over weather conditions, other natural situations such as wildfire smoke and/or community events. However, it is also your responsibility to acquaint yourself with all relevant travel information and details of your tour itinerary. You acknowledge that in your decision to travel you accept that you are aware of the personal risks and tour risks upon such travel.
13. Limitation of Liability
We contract with a network of companies, including other third-party tour providers, third party transport operators, hotels and individuals to assist in the delivery of your Package. We accept limited responsibility for the acts and omissions of these third parties. To the fullest extent permitted by law:
- any liability for any loss, death, injury or damage which you may suffer (directly or indirectly) in connection with or arising out of your participation in your tour, or any breach of the Booking Conditions, is excluded;
- you release us and our officers, employees, agents and representatives from any liability and expressly waive any claims you may have against us arising out of or in connection with your participation in your tour; and
- any condition or warranty which would otherwise be implied by law into these Booking Terms & Conditions (Implied Warranty), is excluded.
To the extent an Implied Warranty cannot be excluded, our liability in respect of the Implied Warranty is limited to (in our absolute discretion): (i) the provision of a similar tour to an equivalent value; or (ii) an 85% refund of the total amount received by us from you in connection with your booking. Any claim by you is excluded to the extent that it is for indirect or consequential loss, loss of profits or economic loss, however it arises, or for indirect, special, punitive or exemplary damages.
14. Optional Non-North Star Adventures Ltd Activities
Optional non-North Star Adventures Ltd activities not included in the tour price do not form part of this contract. You accept that any assistance rendered by North Star Adventures Ltd staff or representative in arranging optional third party tour activities does not render us liable for them in any way. The contract for the provision of any such activity will be between you and the third party tour and/or service provider.
15. Zero Tolerance Policy
Unlawful, rude, disrespectful or unethical behavior including disturbing the peace and comfort of other North Star Adventures Ltd guests and/or staff while on tour may lead to the immediate and non-refundable termination of your tour. In any such case the guest will be fully responsible for any and all costs resulting from any such termination. Please respect all other guests, staff and partners at all times.
16. Cultural Protocol
North Star Adventures Ltd is 100% Indigenous owned and operated. Our tours, packages and services are delivered in a manner that respects and honours our Indigenous heritage. We are proud to partner with many Indigenous individuals, such as community leaders, respected Elders, artisans, knowledge keepers and respective tribal offices. It is important that guests recognize and respect our cultural protocols from the point of contact. Our staff will be happy to guide you along as you learn what it means to observe these cultural protocols. Failure to respectfully observe these Cultural Protocols at any time during the Tour could lead to the immediate and non-refundable termination of your tour. In any such case the guest will be fully responsible for all costs resulting from any such termination.
17. Photos, Images and Marketing
When confirming your booking, you understand that during any part of your tour and/or inquiry of such tour, your image, likeliness and/or profile may be captured by photograph, video, sound recordings or internet transmission and that North Star Adventures Ltd owns and holds the rights to the aforementioned, in perpetuity, for North Star Adventures Ltd marketing, media and promotional purposes.
18. Privacy policy
Any personal information collected by North Star Adventures Ltd about you and/or members of your booking group may be used for any purpose associated with your tour. Your personal information may be disclosed to our agents, service providers or other suppliers to enable us to effectively deliver your tour. We may also use it to send you marketing material and special offers. North Star Adventures Ltd cannot and will not disseminate any, in whole or in part, your personal information other than the aforementioned purpose to any other outside agency without prior and proper consent from you.
