Package Booking Terms & Conditions

1. Booking contract
All bookings are made with North Star Adventures Ltd. By confirming a reservation with us you acknowledge and agree to have read, understood and agree to be legally bound to the terms and conditions set out in this Aurora Booking Terms & Conditions Policy. Your booking contract will take effect from the moment payment (deposit or the full balance) has been received. The services to be provided to you by North Star Adventures Ltd will be listed in your Product Booking Invoice.
2. Validity
Package dates and itineraries are valid until April 30, 2025. Beyond April 30, 2025 package dates and itineraries are suggestive only. Please note dates and itineraries still subject to change.
3. Booking contract and final payments
The booking contract takes effect when we accept your deposit and/or payment. Please refer to your Product Booking Invoice for payment details. Payment of the balance (85%) amount of the package price is due 30 days before the tour date. If this balance is not paid on or before the due date, we reserve the right to deem your booking as cancelled and you will forfeit your deposit. For custom arranged (other than packages on our website) packages, a 10% custom fee will be added to the package amount.
4. Deposit requirement
A 15% (of total package price) non-refundable deposit is required for your booking to be confirmed. If your booking is made within 30 days of the Package date, then the full amount is payable at the time of booking. Please note deposit amounts will vary depending on which Aurora package has been booked. Payments can be made by credit card, e-transfer or bank wire transfer.
5. Cancellation by the Traveller
If you cancel some or all portions of your booking, cancellation fees will apply. A cancellation will only be effective from the date we receive email notification of the cancellation. If you cancel a Package:
30 days or more prior to departure, we will retain the 15% deposit;
Between 29 and 11 days prior to departure, there is a 75% refund.
10 days or less prior to Package departure date, there is a 50% refund.
If you leave a trip for any reason after it has started, we are not obligated to make any refunds for unused services. If you fail to join your Package, join it after departure, or leave it prior to its completion, no refund will be made. Please note: The above cancellation fees are in addition to fees which may be levied by accommodation providers, travel agents or other third-party tour and transport operator fees. In these cases, North Star Adventures Ltd will communicate the full details of these additional cancellation fees.
6. Cancellation by North Star Adventures Ltd
We may cancel a Package at any time prior to departure for personal safety, inclement weather, natural disasters, cancellation by contract service providers, or other external events beyond the control of North Star Adventures Ltd. If we cancel your Package before the Package date, you can transfer amounts paid to an alternate departure date, up to 12 months. Note: In circumstances where the trip is cancelled before or during the Package, due to external events outside our reasonable control, there is no refund.
7. Amendments to Booking By Traveler
Transfers to another Package date can only be made to a departure within the current validity period and if there is availability on the new proposed Package date. A $250 transfer fee per person will be applied to Package date changes. This fee is in addition to any charges levied by hotels/B&B’s, airlines or contract service providers. Transfers to a new Package date can only be done 30 or more days before the original Package date.
8. Inclusions
The price of your Package may include but not limited to:
All accommodation as listed in the Package Itinerary Invoice
All Day Tours and meals as listed in the Package Itinerary Invoice
All Tour transfers, transportation costs, flights as listed in the Package Itinerary Invoice

9. Exclusions
The Package price of your trip does not include:
Travel insurance
Hotel/B&B Incidental expenses
Optional tour activities and all personal expenses
Gratuities for Guides and Staff
10. Age & Health requirements
Minimum Age: For our Aurora Packages the minimum age is 5 years of age. All travelers under the age of 18 must be accompanied by a legal guardian, or in lieu of a legal guardian, by an escort over the age of 18, appointed by their legal guardian. If a legal guardian elects to designate an escort in their lieu, they will be required to complete and sign a relevant document, to delegate their authority.
Maximum Age: For the majority of our Packages we have no upper age limit though we remind you that some of the Day Tours can be physically demanding and travellers must ensure that they are physically fit to allow full participation, such as the Scenic Drive & Nature Hike tour.
11. Travel insurance requirements
You must have Travel insurance and will need to be verified by a representative of North Star Adventures Ltd before starting your Package. Your travel insurance must provide cover against trip cancellation, trip interruption, personal accident, death, medical expenses, evacuation and emergency repatriation with a recommended minimum coverage of CAD$200,000 for each of the categories of cover. When appropriate Travel Insurance has been purchased, you must provide details of your travel insurance including trip policy number and the insurance company’s 24-hour emergency contact number. If your Package was purchased with a credit card that has travel insurance, please provide details of the trip items covered by the credit card insurance as it relates to your package purchase. If you choose not to purchase the appropriate travel/trip insurance, you must sign our Travel Insurance & Trip Interruption Waiver Form before the balance payment of the Package is paid. By doing so, you fully understand and acknowledge that should any situations arise where the Package needs to be cancelled, there will be no refund. In lieu of the refund, you may transfer to a credit equal in value to the Package amount to a later date within the validity period.
12. Acceptance of Risk
You acknowledge that seeing Aurora is not guaranteed. You also acknowledge that Mother Nature and weather conditions may result in unsuccessful viewing of the Aurora during your Package dates. You also acknowledge North Star Adventures Ltd has no control over weather conditions and other natural situations such as wildfire smoke. However, it is also your own responsibility to acquaint yourself with all relevant travel information and the nature of your itinerary. You acknowledge that in your decision to travel you accept that you are aware of the personal risks and tour risks upon such travel.
13. Limitation of Liability
We contract with a network of companies, community government agencies and individuals to assist in the delivery of our Packages. We are not responsible for the acts and omissions of these third parties. To the fullest extent permitted by law:
any liability for any loss, death, injury or damage which you may suffer (directly or indirectly) in connection with or arising out of your participation in your Package, or any breach of the Booking Conditions, is excluded;
you release us and our officers, employees, agents and representatives from any liability and expressly waive any claims you may have against us arising out of or in connection with your participation in your Package; and
any condition or warranty which would otherwise be implied by law into these Booking Conditions (Implied Warranty), is excluded.
To the extent an Implied Warranty cannot be excluded, our liability in respect of the Implied Warranty is limited to (in our absolute discretion): (i) the provision of a similar Package to an equivalent value; or (ii) a refund of the total amount received by us from you in connection with your booking. Any claim by you is excluded to the extent that it is for indirect or consequential loss, loss of profits or economic loss, however it arises, or for indirect, special, punitive or exemplary damages.
14. Optional Non-North Star Adventures Ltd Activities
Optional non-North Star Adventures Ltd activities not included in the Package price do not form part of this contract. You accept that any assistance rendered by your tour group leader or other North Star Adventures Ltd staff or representative in arranging optional activities does not render us liable for them in any way. The contract for the provision of any such activity will be between you and the activity provider.
15. Zero Tolerance Policy
Unlawful, rude, disrespectful or unethical behavior as well as disturbing the peace and comfort of other North Star Adventures Ltd guests and/or staff may lead to the immediate and non-refundable termination of your tour/package. In any such case the guest will be fully responsible for any and all costs resulting from any such termination.
16. Cultural Protocol
North Star Adventures is 100% Indigenous owned and operated. Our tours, packages and services are delivered in a manner that respects our Indigenous heritage. We are proud to partner with many Indigenous individuals, such as community leaders, respected Elders, artisans, knowledge keepers and with respective tribal offices. It is important that guests recognize, respect, and learn our cultural protocols from the point of contact. Our staff will guide you along as you learn what it means to observe these cultural protocols. Failure to respectfully observe these Cultural Protocols at any time during the Tour/Package could lead to the immediate and non-refundable termination of your tour/package. In any such case the guest will be fully responsible for all costs resulting from any such termination.
17. Photos, Images and Marketing
When confirming your booking, you understand that during any part of your tour/package and/or inquiry of such tour/package, your image, likeliness and/or profile may be captured by photograph, video, sound recordings or internet transmission and that North Star Adventures Ltd owns and holds the rights to the aforementioned, in perpetuity, for North Star Adventures Ltd marketing, media and promotional purposes.
18. Privacy policy
Any personal information collected by North Star Adventures Ltd about you may be used for any purpose associated with your Package. Your personal information may be disclosed to our agents, service providers or other suppliers to enable us to effectively deliver your Package. We may also use it to send you marketing material and special offers. North Star Adventures Ltd cannot and will not disseminate any, in whole or in part, your personal information other than the aforementioned purpose to any other outside agency without prior and proper consent from you.
